Frequently Asked Questions

Common questions about projects, timelines, support, and working with our team.

Projects & Engagement

What types of projects do you work on?
We specialize in custom software for operations-heavy businesses—field service, supply chain, healthcare, logistics, professional services, and any company modernizing complex workflows. We work on product strategy, design systems, custom web applications, internal platforms, customer portals, and legacy system migrations.
How do you know if a project is a good fit?
Good fit projects usually involve: (1) Complex workflows that need clarity, (2) Teams large enough to benefit from better software, (3) Leadership commitment to improvement, (4) Realistic budgets for the scope, and (5) Willingness to be involved in the process. We'll tell you honestly if we think a project isn't the right fit—we'd rather say no than set everyone up for disappointment.
Can you help with a project in my specific industry?
Probably. We've worked across field service, healthcare, supply chain, benefits administration, manufacturing, and more. Even if we haven't worked in your exact industry, our process is universal: understand real workflows, design for clarity, build for reliability. If your challenge involves modernizing operations or building software, we can help.
Do you work with early-stage companies or only established businesses?
Both. Early-stage companies usually benefit most from product strategy and discovery work—getting the foundation right before building. Established companies often come to us for platform modernization or solving specific operational problems. The main requirement is that the project scope and budget align.

Timelines & Process

How long does a typical project take?
It depends on scope. Discovery engagements are usually 2–4 weeks. Design work is 4–12 weeks depending on complexity. Building custom software is typically 3–9 months. We break everything into phases so you see progress regularly and can adjust as you learn.
Can you give me a timeline before we start?
Yes, but with caveats. After discovery, we can estimate the design and build phases fairly accurately. Before discovery, we can give you ranges—we've learned that aggressive timelines without proper understanding lead to bad outcomes. Once we understand your situation, we'll provide a detailed timeline with realistic milestones.
How are projects structured? Is it waterfall or agile?
We use iterative delivery (two-week sprints) with fixed budgets for discovery phases. You see working software every two weeks, give feedback, and we incorporate it into the next sprint. This means you're never far from course-correcting. We're transparent about what's taking longer than expected and why.
What happens after launch? Can you stay involved?
Yes. We offer Standard Support (included) and Retained Support (ongoing partnership). Standard includes bug fixes and quarterly releases. Retained Support includes a dedicated contact, 4-hour response times, and priority feature development. Many clients stick with Retained Support because business needs evolve and we know the codebase.

Budget & Pricing

What does a project cost?
Discovery is usually $8,000–$25,000 depending on complexity. Design is $15,000–$75,000+. Custom software development is $40,000–$500,000+ depending on scope and timeline. We're transparent: in discovery, we'll give you a fixed estimate for the next phase based on what we learned.
How do you price projects?
Discovery phases have fixed budgets and deliverables. Design and build phases are usually fixed-price with clear scope (we spend a lot of time getting this right during discovery). We offer payment plans for larger projects. Retained support is monthly.
What if my budget is smaller than what you quoted?
Let's talk. We might be able to reduce scope, phase the project differently, or focus on the highest-impact work. We'd rather scope appropriately than over-promise and under-deliver. If budget truly won't work, we'll tell you honestly instead of struggling halfway through.
Are there additional costs after launch?
Not mandatory, but we do offer optional support plans (Standard and Retained). Hosting, third-party services, and integrations are separate. We'll clarify all ongoing costs before you launch so there are no surprises.

Ownership & Control

Who owns the software we build?
You do. Completely. You own all code, designs, documentation, and intellectual property. We retain no rights. This means you can hire someone else to maintain it, fork it, or do whatever you want.
Can we hire someone else to maintain the software later?
Yes. We document everything specifically to make this possible. Our code is clean and well-structured. We provide runbooks and knowledge transfer so another team can take over. If you want us to stay involved, great—Retained Support is available. If you want to move on, we've set you up for success.
What if I want to bring in another vendor later?
That's your call. We document thoroughly so transition is smooth. We're happy to consult during the transition or work collaboratively with other teams if that's helpful.
What about data privacy and security?
Data privacy is non-negotiable. We follow HIPAA, SOC 2, and GDPR requirements depending on your needs. Data is encrypted in transit and at rest. We undergo regular security audits. If your industry has compliance requirements, we account for them from day one. Details go in our security addendum during engagement.

Technical & Integration

What technology do you use to build software?
We work primarily with modern, well-supported stacks: React/Next.js for frontends, Node.js/Python for backends, PostgreSQL for databases, AWS/Google Cloud for infrastructure. We choose the right tool for the problem, not dogmatically. The goal is reliability and maintainability, not following hype.
Can you integrate with our existing systems?
Usually, yes. We have experience building APIs, database integrations, and custom connectors for enterprise systems (SAP, Salesforce, ERP platforms, etc.). During discovery, we map your existing systems and identify integration points. If integration is technically complex, we identify that early and price accordingly.
Will the new software work with our current setup?
Probably. We assess your infrastructure, security requirements, and existing systems early. We can build software that sits on top of legacy systems, migrates data gradually, or replaces systems entirely. The goal is no disruption to operations.
What about mobile apps?
We build responsive web applications that work beautifully on phones, tablets, and desktops. If you need a native iOS or Android app, we discuss that during discovery—it affects timeline and complexity.

Accessibility & Quality

Do you build accessible software?
Yes, by default. All software we build meets WCAG AA standards minimum. This means keyboard navigation, screen reader support, sufficient color contrast, and proper semantics. Accessible software is better software for everyone—not a checkbox, but a core requirement.
How do you ensure quality?
Through multiple layers: (1) Code reviews on every change, (2) Automated testing for critical workflows, (3) Manual QA testing before releases, (4) Continuous monitoring in production, (5) Regular security audits. We measure uptime (target: 99.5%) and take seriously any production issues.
What about training and documentation?
Included. We provide: (1) Comprehensive written documentation, (2) Runbooks for support teams, (3) Training sessions for your staff (in-person or video), (4) Knowledge base articles for end users. After handoff, you'll understand the system and be able to maintain it or train others.

Support & Maintenance

What if something breaks after launch?
We have your back. Standard Support (included) covers bug fixes with a 24-hour response target. If it's critical (blocking work), we prioritize immediately. Retained Support offers 4-hour response targets and a dedicated contact.
How often are updates and new features released?
Quarterly updates on Standard Support. With Retained Support, we work with you to define a roadmap and release new features on a schedule that makes sense for your business. You control the pace.
Will the software still work in 5 years?
With support, yes. We stay on top of dependencies, apply security patches, and keep code up-to-date. Unsupported software eventually breaks as underlying systems change. That's why retained support matters—we evolve the product with the platform.
